Enter several boats: matrix, Excel and copying

Enter many boats at once, import entries from Excel, copy them from an earlier competition and add substitutes in one go.

Once a club and a competition are selected on Entries, “Ways to enter boats” shows four ways. For many boats, the entry matrix is the fastest.

Enter several boats (entry matrix, recommended)

  1. Open “Enter several boats”.
  2. Select the athletes on the left. Filters by name, gender and birth year help in large clubs (“Select filtered”).
  3. On the right, each athlete has the open classes in which they may start by age and gender:
    • Singles: set a check mark. Each check mark is a boat of its own.
    • Crew boats: choose a boat number. Athletes with the same number form one boat.
  4. “Check n boats” shows all rule violations and fees with a total.
  5. “Enter n boats” appears when all boats are valid. Otherwise “Enter n valid boats” enters only the valid ones; the others stay ticked for correction.

You can filter the classes by text, number, boat class and age class. Existing starts appear as “✓” in the table. The matrix also works with the keyboard: the arrow keys move between cells, the space bar ticks, and a digit selects the boat number.

Excel import

If your boats are already in an Excel file:

  1. Open “Excel import” and download the template. It contains the sheets “Entries”, “Race classes” (open classes), “Athletes” (your club's athletes) and “Notes”.
  2. In each row, fill in the race class, boat, role, boat name and the athlete. This way you can also enter substitutes, coxswains and boat names in one step.
  3. Upload the file and choose “Check file”. Invalid rows are listed with row number and reason; boats already entered are skipped.
  4. “Enter n boats” enters everything, “Enter n valid boats” only the valid ones. You correct faulty rows in the file and upload it again.

Copy from an earlier competition

After you select an earlier competition, “Copy from an earlier competition” shows each boat with target class, crew and fee. Fitting boats are preselected; for the others the reason is given (no fitting or a closed class, athlete no longer in the club, rule violation, already entered). “Copy n boats” enters the selected ones.

Add substitutes and coxswains

After the matrix or an import, you add substitutes and coxswains in one go under “Add substitutes and coxswains”:

  1. The page shows your crew boats with free seats. “Show” switches to “Coxswain missing” or “All boats”.
  2. For each boat, select substitute, coxswain and substitute coxswain. Changed boats are marked.
  3. “Save n boats” shows all changes for confirmation and saves them. Rejected boats keep your selection and give the reason.
