Late entries and exception requests

Late entry

After the entry deadline for boats, you can only enter late if the organizer allows late entries for the competition and for the race class. In the selection, such classes are marked “(late entry only)”; you see the late entry deadline under “Deadlines and documents”.

This is how a late entry works:

1. Enter the boat as usual. The portal marks it as a late entry and shows the class's late entry fee as a proposal.
2. The late entry is pending at first. The organizer accepts or rejects it and sets the late entry fee when accepting it.
3. Your club's managers receive an e-mail about the decision.

The late entry fee is added to the entry fee. A pending or rejected late entry costs nothing; only an accepted one appears in the cost statement.

If a club changes the crew or boat name of a boat that has already been accepted after the athlete entry deadline, this becomes a request to the organizer; the boat stays unchanged until the organizer decides (see “Change, withdraw or delete an entry”). The club can still change a late entry that has not been accepted yet directly; it then waits for the decision again.

Exception request for age or gender

If an athlete does not fit the age or gender requirement of a class, you can request an exception from the organizer:

1. In the crew, select the grayed-out athlete in question or open the exception request. The selection there contains all athletes of your club, and the portal shows the deviations it has detected.
2. If the person is not in the club, you enter their details in the request; no club athlete is created for this.
3. Give a reason for the request and choose “Submit exception request”.

As long as the request is open, there is no entry yet. You can withdraw the request or replace it with a corrected version. If the organizer approves it, the entry is created; all other rules (crew size, deadlines, no double entry) still apply.
