Create, import and maintain athletes

Create athletes one by one, take them over from Excel or CSV, import them from the federation, edit them and request a club transfer.

Before you enter boats, you need your club's athletes in the portal. Every active club member may maintain them. You find them under Athletes or on the club page in the “Athletes” tab.

Create one by one

  1. Fill in first name, last name, birth year, gender and license number. First name, last name and gender are required.
  2. Choose “Create athlete”. The cursor then returns to the “First name” field, so you can enter the next athlete right away.

The birth year is important: without a birth year, an athlete cannot be entered in race classes with age limits.

Many athletes at once: Excel or CSV

Under “Import athletes from Excel or CSV” you have two ways:

  • Paste: Copy rows from Excel (or CSV with ; or ,) into the text field. The columns are last name, first name, birth year, gender and license number, with or without a header row.
  • File: Download the template, fill in the “Athletes” sheet and upload the .xlsx file.

Existing athletes are recognized by their license number and updated. The page lists rows with errors along with the reason. If nothing is taken over at all, the page keeps your text so that you can correct it.

Import from the federation

If the operator has set up a live import for your national federation, the athlete list shows “Import from federation”. With the DKV, you sign in with the DKV club account for this; the portal then takes over your club's athletes with license and start release.

Before saving, a preview shows who is new, becomes active again, changes or is no longer in the federation list. “Apply” saves, “Discard” leaves everything as it is. Athletes from an earlier federation import who are missing from the federation list are deleted in the process; their previous entries remain valid. Athletes you created by hand or from a file stay.

Undo an import

Under “Recent imports”, “Undo” reverses an entire import: newly created athletes are deleted again, overwritten ones get their previous values back, and athletes the import deleted are active again. Athletes who have been entered or changed in the meantime stay unchanged. Each import can be undone only once.

Edit and delete

  • “Edit” changes name, birth year, gender and license. The start release (competition year) is set only by the federation import; the dialog shows it for information only.
  • Changes also apply to current and upcoming competitions in which the athlete is entered. If an entry then no longer fits the age or gender of the race class, the portal points this out; the entry remains.
  • If the gender is missing for older athletes, the page lists them under “Please add the gender”.

You can search the list by name or license, filter it by gender, birth year and “Missing data only” and sort it by name or birth year.

Club transfer

If an athlete moves to your club, you request them from their previous club:

  1. Under “Club transfer”, enter the sport, last name, birth year and license number (without a license number, the first name). The details must match exactly one athlete.
  2. The managers of the previous club receive an e-mail and approve or reject the request.
  3. After approval, the athlete belongs to your club. Entries for current or upcoming competitions stay with the previous club.

You can take back an open request. You receive an e-mail about the decision.
