Overview: from competition to complete entries

The steps an organizer takes up to the entry deadline, the phases of a competition and the overview with the open tasks.

As an organizer, you set up the competition in the portal, open it for entries and handle the incoming entries. What happens at the competition itself afterwards (races, draw, results) is described in the Regatta Manager guide.

The way to the entry deadline

  1. Organization: Create your organizer organization, confirm it by e-mail and invite more managers. See Create an organizer and invite your team.
  2. Competition: Create the competition and go through the setup wizard: dates, venue, deadlines, fees, bank details, bookings and documents. See Create and set up a competition.
  3. Race classes: Create the race classes, import them from Excel or copy them from an earlier competition. See Create, import and copy race classes.
  4. Extras and helpers: If needed, offer camping and meals and give helpers access to individual tasks.
  5. Publish: The readiness check shows what is still missing. Clubs can enter only after you publish. See Publish a competition.
  6. Handle entries: Decide late entries and requests, remind clubs of missing details and send the cost statements. See Handle incoming entries.

The competition overview

The overview is your start page for a competition. The “Overview” tab collects the open tasks: late entries, invalid or incomplete crews, missing team leaders, bookings and cost statements. Each one takes you with one click to the page where you complete the task.

Above all pages of the competition is the header with the name, date, current phase and a search field for boats, athletes, clubs and races.

The phases of a competition

The navigation groups the pages of a competition by phase. The phase follows automatically from publication, entry deadline and dates:

Phase When What clubs may do
Preparation not published yet nothing, the competition is invisible to them
Registration published, until the entry deadline enter, change, withdraw, delete
Programme after the entry deadline make late entries and request changes, if allowed
Live from the first competition day submit requests; the organizer decides
Closed after the last competition day no more changes

Who on the team may do what

  • Managers of the organizer organization manage the organization and all its competitions.
  • The owner can also change the bank details.
  • Helpers get a role for a single competition (results entry, race office, announcer). See Helpers with roles.

The portal is free of charge up to 200 boats; above that, a portal fee applies. See Paying the portal fee.
